What hotels may need from foreign guests

Prepare the passport, booking confirmation, contact phone or email, arrival time, and the exact hotel name in Chinese. If more than one traveler is staying, each person's passport may be needed. The Chinese address matters. Taxi drivers, delivery riders, police registration, emergency services and hotel staff usually work faster from the Chinese version of the address. If you stay in an apartment, friend's home, dormitory, company housing or other non-hotel accommodation, do not assume hotel-style registration happens automatically. Long-stay visitors should keep registration records because later visa, residence, school, employer or police processes may ask for them.

Late arrival changes the check-in risk

A late arrival turns small proof gaps into stress. If you land at midnight and the hotel desk cannot find the booking, payment fails, or the address is unclear to the driver, there are fewer easy fallback options. For first-night planning, choose a hotel that clearly accepts foreign guests, has a reachable desk, and is not too far from the arrival airport or station.

Send an arrival note if the platform allows it. Keep the hotel phone number visible. Save both English and Chinese names. If you are arriving after a long-haul flight, the first hotel is a recovery tool, not just a price choice.

A practical test is whether you could show the driver, front desk and a helper the same saved information without translating in the moment. If the answer is no, the first-night plan still has a weak point.

Address proof for daily life

The same address habit helps beyond check-in. Food delivery, ride-hailing, hospital visits, lost phone recovery, police reports, bank visits and embassy help all become easier when you can show a clear Chinese address. For longer stays, store the apartment address, building name, unit, landlord or host contact, and nearest landmark in one note.

If someone else writes the address for you, take a screenshot and keep a plain-text version. Do not depend on copying from one app while offline.

For families or groups, put the address note on every adult phone rather than only on the trip organizer's device. The address is most useful when the group splits up, a phone battery dies, or one person has to solve a front-desk question while another handles luggage.
